RingCentral Meetings: Configuring the Settings for the Account and Users

RingCentral Meetings allows Administrators and Users to conveniently control the features with a user-friendly settings interface that is available on the RingCentral Online account

NOTE: This article provides steps for RingCentral Office Administrators and Users on the Online Account. For RingCentral Meetings Accounts, go to RingCentral Meetings Account: Configure Meetings Settings.

IMPORTANT: Only the Super Admin, the Groups Manager, Phone System Admin, User Admin, or Users with access to Meetings can perform changes in its settings. See User Roles and Permissions for more information.

Administrators should log in to the RingCentral Online account and go to the Admin Portal in order to change the Meetings settings for the entire account, or customize the settings for User/s.

Accessing the Meetings Settings for the entire account


The settings interface makes it easy for Administrators to control the RingCentral Meetings User experience for the entire organization.

IMPORTANT: You will need to restart an ongoing Meeting in order for the changes in Settings to take effect.


Step 1:


On the Admin Portal, click Tools, then click Meetings.

On the Admin Portal, hover over Tools, then click Meetings.

Meetings Settings

 

1. In Meeting (Basic) Settings


The In Meeting Basic settings allow you to enable or disable the following:

Chat


This setting allows you to disable or enable chat during Meetings. The Chat button appears in the bottom menu if this setting is enabled.

Feedback to RingCentral


This setting allows you to disable or enable sending of feedback to RingCentral when ending or leaving a Meeting. When this setting is enabled, the checkbox appears.

Allow host to put attendee on hold


This setting enables the Host to put someone on hold during a Meeting. The participant who is placed on hold will be unable to hear any audio from the Meeting nor see any video nor any content shared. The Put on Hold menu will not be visible when this setting is disabled.

Private chat 


This setting when enabled allows the Host and Participants to send private messages to one another. This functionality will be disabled and only the group chat appears when this setting is disabled.

Co-host


This setting enables a Host to assign another Participant as a Co-Host of the Meeting. Co-Hosts have the same privileges as the Host. The Host can withdraw the co-host permission at any time. The Make Co-Host menu does not appear when this setting is disabled.

NOTE: Co-hosting is available for RingCentral for Meetings app version 5.1 and above. 
 
This setting enables a Host to assign another Participant as a Co-Host of the Meeting. Co-Hosts have the same privileges as the Host. The Host can withdraw the co-host permission at any time. The Make Co-Host menu does not appear when this setting is disabled.



Allow users to share Meetings windows in desktop sharing in their client settings


Users in the account will be able to share their RingCentral Meetings windows in desktop sharing when this setting is enabled in both the RingCentral Online account and the Meetings Desktop app.

2. In Meeting (Advanced) Settings


The In Meeting Advanced settings allow you to enable or disable the following:

This setting allows you to disable or enable Q&A in Webinars.

Closed caption


When enabled, this setting adds closed captioning to the Meeting. The Host can type the caption or assign someone else to type the caption.

Only show default email when sending email invites


When enabled, this setting shows only the default email option when sending email invites.

Breakout room


The Host can break out a meeting into several rooms (sub-meetings) when this setting is enabled. When the Host creates a breakout room, the Participants in that room will enter a new meeting session. The host can move the Participants back to the original Meeting.

NOTE: Breakout room is available for RingCentral for Meetings app version 5.1 and above.

The Host can break out a meeting into several rooms (sub-meetings) when this setting is enabled. When the Host creates a breakout room, the Participants in that room will enter a new meeting session. The host can move the Participants back to the original Meeting.



Virtual background


This setting allows adding a virtual background with a company's logo or background image. If this setting is enabled, the User will see the option in the Meetings Desktop app Settings > Video Background.

IMPORTANT: The feature requires a physical green screen or physical blue screen.

NOTE: Virtual background is available for RingCentral for Meetings app version 5.1 and above.

Peer to peer connection while only 2 people in a meeting


This setting ensures that peer to peer (P2P) connection is forbidden. The Administrator can restrict a specific port range if this setting is enabled.



Allow users to select only signed-in users can join meetings in their client settings


This setting ensures that only authorized Participants can join the Meeting and if is disabled by default on the account. If this setting is enabled in the RingCentral Online account, the User will be able to view this option in the Meetings Desktop app. If it is disabled in the Online account, this setting will not appear on the scheduling page.

If this setting is enabled in both the Online account and the scheduling page, only signed-in Users can join the Meeting.

This setting ensures that only authorized participants can join the Meeting and if is disabled by default on the account. 3. Email Notification Settings


The Email Notification settings allow you to enable or disable sending email notifications to attendees when they join a Meeting before the host, and when a Meeting is deleted.

4. Audio Options Settings


The Audio Options settings allow you to enable or disable the following:

Allow users to select stereo audio in their client settings


This setting enables the Meetings Participants to hear stereo audio. This is helpful especially when the Participants need to listen to music in stereo quality.

NOTE: If this setting is enabled, the Participants' CPU usage will increase.

3rd party audio conference


This setting enables 3rd party audio to be exclusively used for the Meeting.

Allow users to select original sound in their client settings


This setting enables Participants to use their original sound settings, without using RingCentral Meetings' echo cancellation and audio-enhancing features. This is useful if the User's microphone or sound equipment has these features built-in.

5. Integration Settings


The Integration settings allow you to enable or disable the integrated apps — Google Calendar, Dropbox, Microsoft (One Drive), Google Drive, and Box.

When Google Calendar is disabled, "Google calendar" will not appear as one of the options when scheduling a Meeting. Disabling Dropbox, Microsoft (One Drive), Google Drive, and Box will disable cloud storage in the Meetings Mobile app.

6. HTML Email Template Settings


The HTML Email Template settings allow you to enable or disable HTML formatting when scheduling a Meeting in Outlook using the Meetings Outlook plugin. A plain text email will be used instead when this option is disabled.

This setting enables Users to use the HTML format when sending emails using the RingCentral Meetings Outlook plugin.

1. Profile Settings


The Profile settings allow you to enable or disable the following:



Personal Meeting ID


The Profile settings let you enter a User's preferred Personal Meeting ID and Host Key.
 

Use this ID for instant meetings  


Check this option if you prefer to use your Personal Meeting ID for instant meetings.
 

Host Key


This feature enables Users to change the Host Key, which can be used to claim the "Host" role and start a Meeting from a H.323/SIP room system.

Chat


This setting allows you to disable or enable chat during Meetings. The Chat button appears in the bottom menu if this setting is enabled.

When this setting is disabled, the chat button does not show in the Meetings bottom menu.

Auto saving chats


If this setting is enabled, the Host's chats will be automatically saved right after the Meeting ends. Chats are saved as text documents into the same folder where the local recordings can be found.

To view this location, go to the Meetings Desktop app Settings > Recording Location.



Play Enter / Exit Chime


Play Enter / Exit Chime allows the Host to configure this setting to be heard either by the Host and all attendees or to be heard only by the Host.

Far end camera control


With this setting enabled, the Host can request permission from the Participant to control his or her camera.

NOTE: A Pan-Tilt-Zoom (PTZ) camera is required for this feature to work.

Attention tracking


Hosts can see an indicator in the Participant panel of a meeting or webinar if an attendee does not have Meetings in focus more than 30s while someone is sharing a screen.

Remote support


The Remote Support setting when enabled is helpful for IT or Support agents who need to control a Participant's computer.

Click the Support button located at the bottom part of the Meeting screen. There are 3 options in the Support menu.

Waiting room


The Waiting room feature allows a Host to approve Participants before they join the Meeting. Click Manage Participants, then click See waiting room. Participants are held in a virtual waiting room while waiting for the Host's approval.

Automatic recording


Automatic recording is an option that allows the Host to automatically start local recording when the Meeting starts.

5. 3rd Party Audio Conference Settings


This setting enables 3rd party audio to be exclusively used for the Meeting.

When this setting is enabled, a User will be able to add some contents at the end of the email template. Click Save.
