SummaryGetting to know the Phone Details section of the RingCentral account
Details
One of the responsibilities of an Account Administrator is to manage and check the settings of each extension's phone settings. This article shows how Administrators can access a User Extension's phone settings and what settings can be changed.

Accessing a User Extension's Phone Details

Step 1:

Under Admin Portal, click Phone System, and then Phones & Devices.

Click the device that needs to be checked or modified.

The Phone Details screen appears. 
The phone's Device Name or Model Number appears at the top, followed by its Serial Number.
The Status shows whether your phone is Online or Offline
The Assigned Type shows you the type phone this device is in your account. It could be a User phone, a Common phone, or an Unassigned phone.

1. Change Phone
This option will allow you to replace the phone. 

2. Resync
This option will allow you to remotely reboot and resync the phone. 

3. Phone Name
The Phone Name serves as a Label for you to properly identify this device when configuring your Call Handling & Forwarding Settings.

4. User Assignment
Shows the User and Extension where this phone is assigned to. You can re-assign the phone to a different User and Extension by clicking on Edit User

NOTE: The name of the extension where the phone is assigned to is also the same name that will appear on the phone's display.

5. Phone Number
Shows the Phone Number assigned to this device. 
View - Allows you to view the details and configure the number. 
Edit Number - Allows you to change the Phone Number assigned to this device.
Remove Line - Gives you the Phone Number to call to remove a line from your RingCentral account.
• Default Area Code - If you know that you'll be using this phone to frequently make calls to a specific area code, you can specify the area code here as a shortcut. This way, you won't need to dial the area code for each call. We'll automatically do it for you, saving you a little bit of time. 

6. Bandwidth Settings
To improve the quality of your calls, you can set how much network bandwidth to use for calls: 
• High Bandwidth - gives you better sound quality but calls can become choppy when its not available. 
• Low Bandwidth - give you lower sound quality but ensures ni interruptions during your conversation. 

7. Emergency Address 
Shows you the Address that this device is using for Emergency calls. Emergency responders will be sent to this address when you dial local emergency services such as 911, 112, 999, etc. You can click Edit Address to update, and then click Save.
 

Change Phone

Step 1:

Click Change Phone.

Select the applicable option to replace your device:

• Order a new phone from RingCentral
We will ship you a new desktop IP desk phone if you select this option. Select the phone that you wish to order, and then fill out your emergency address and shipping details. 

NOTE: When your new phone arrives and is plugged in, your old phone will be marked as an unassigned phone and can later be assigned to another user.

• Existing RingCentral phone
Select this option if you already have a desktop IP phone that was purchased from RingCentral but is not currently in use. You can also choose a desktop IP phone that it is currently assigned to another user. Select the phone that you wish to use from the list of your Existig RingCentral phones, and then click Swap

NOTE: You will see a pop-up window with a note that says that the phones must be rebooted for the changes to take effect. If the phones do not reboot automatically after clicking on Done, unplug the phone and then plug it back to reboot. 

• Phone not purchased from RingCentral
Select this option if you own a SIP phone that was not purchased from RingCentral. Fill out your emergency address, and then check if your phone's model is on the list to continue. For more information, see Set up a Third Party SIP Phone.

• RingCentral for Desktop
Select this option if you prefer to use a desktop application for taking your calls. Download and install the RingCentral Desktop app, and then use the phone number listed on the pop-up window for the log in.

User Assignment

In this example, we will assign Andy Davis' phone to a different User. To re-assign the phone to a different User, follow the steps below. 

Step 1: 

Click Edit User

Select the User where you want to re-assign the phone, and then click Save

Step 3: 

You will see a warning that re-assigning a Deskphone from this extension will also remove any Additional Desktop App of the same location associated with this extension. When the Desktop app is removed, Outbound calls will no longer be available.
If you wish to proceed, click Yes

Phone Number

Shows the Phone Number assigned to this device.

View the Phone Number Details

Step 1:

To view and edit what activity the Phone Number can receive, click View.

Step 2: 

You will see a prompt to navigate away from the Phones view. Click Yes

Step 3: 

The Details view shows the Location of the Phone Number, where it is assigned to, as well as the Number Type
The Number Type controls what activity the phone number can receive. Selecting Voice and Fax enables the phone number to accept both phone calls and faxes. Selecting Voice Only enables the phone number to receive phone calls only.

To go back to the Phone Details section (previous screen), click Phone Properties

Edit Number

To change the Phone Number assigned to this Deskphone, follow the steps below. 

Step 1: 

Click Edit Number

Step 2: 

You have 2 options: 
a. Replace it with a new number 
Select this option if you want to choose a completely new phone number. 
b. Change it to an existing number 
Select this option if you want to swap your current number with another one in your account. 
 


Replacing with a New Number

Step 1: 

Tick the radio button for Replace it with a new number
Select the State and Area code from the drop-down list and a list of Available numbers will appear.
Select from the list of Available numbers, and then click Next

Step 2: 

The Change Number Wizard will ask what you want to do with the old number. You have 2 options: 

a. Keep as an additional number
Select this option if you want to keep the old number to use later, and then click Next. This number can be used when adding a new Phone to your account.
When you click Next, you will be asked to acknowledge and authorize the charges.

NOTE: Keeping the old number in your account will incur charges excluding taxes and fees. ​

b. Delete the number from your account
Select this option if you want to remove the old number from your account.

Step 3:

Step 1: 

Tick the radio button for Changing it to an existing number, and then a list of Available numbers will appear.
Select from the list of Available numbers, and then click Next

Remove Line

Removing a line from your RingCentral account may only be done over the phone. Please call the numbers below and then press the appropriate prompt for cancellations, for assistance in account verification and secure termination of a line from your RingCentral account. When calling, please be prepared to provide your RingCentral Phone Number and Answer to your Security Question.
