SummaryAs an Administrator, how do I add direct numbers to Users?

A Direct Number is a phone number that can be dialed to connect directly to a User without going through the Operator or Auto-Receptionist. This article shows how Users and Account Administrators can add a Direct Virtual Number to a User extension.

A Phone number assigned to a Desk phone or Softphone, also known as a Digital Line, is also considered as a Direct number. If you want to add a number tied to a phone, go to Adding and Provisioning Phones

​NOTE: RingCentral has set limits for the protection of customers from fraudulent activities or over usage. When you add a number, you may get a message saying that you have exceeded the maximum allowed value that can be processed on your account in a single billing cycle. For security purposes, please contact RingCentral Customer Service to verify your Billing Information and request an account limit increase and proceed with your desired transaction.  

The ability to Add a Direct Number is only available to Users assigned to the following Roles: 

1. Super Admin (Predefined Role)

2. Custom Role

A Custom Role needs to have these permissions to allow a User to add a Direct Number:
• User Settings: Phones & Numbers 
• Phone System: Company Numbers & Info

To allow a User to add a Direct Number to other Users. The user must have these permissions:
User Management: Users
User Settings: Phones & Numbers
Phone System: Company Numbers & Info

Admin: Adding a Direct Number to a User 

As an Administrator, you have the ability to configure the settings of another User in your RingCentral account. To add a Direct Number to a User, follow the steps below.

NOTE: The images provided on the steps below were taken from the Super Admin's perspective. The tabs and other sections visible on your RingCentral Online account may vary depending on your Role and permissions granted to you by the Super Admin.

Go to Users > User List.

Select the User you want to configure.

Step 4: 

Go to Phones & Numbers > Numbers. Click Add Direct Number.

Add Direct Number

The following type of numbers can be added and assigned to a User's extension.
Click on the links below for more information.

Local (Domestic) Number
Toll-Free Number
Vanity Number
International Number
 

Adding a Local (Domestic) Number

Step 1: 

Select Local (Domestic), and then select the State/Province and Area Code of the number that you want to add.

Step 2: 

You will see the list of available numbers for the State/Province and Area Code that you have selected. If your selected Area Code is unavailable, alternate numbers are shown. Select a number and then click Next.

Step 3: 

The Order Summary page will show the total amount of Additional RingCentral Services (including the Taxes, Charges and Fees) that will be charged to the credit card on file for this account.
Tick the box to acknowledge and authorize the amount to be charged to the credit card on file, and then click Next

Step 4: 

The Order Confirmation screen will allow you to print a copy of your Order's receipt. Click Done to close the window.
 

Adding a Toll-Free Number

Step 1: 

Select Toll-Free, and then select your preferred Toll-Free Prefix.

NOTE: A one-time $30 setup fee applies when you select the Toll-Free Prefix 800.

Step 3: 

The Order Summary page will show the total amount of Additional RingCentral Services (including the Taxes, Charges and Fees) that will be charged to the credit card on file for this account.
Tick the box to acknowledge and authorize the amount to be charged to the credit card on file, and then click Next

Step 4: 

The Order Confirmation screen will allow you to print a copy of your Order's receipt. Click Done to close the window.
 

Adding a Vanity Number

You can add a vanity number to create a personalized phone number that is easy to remember. A vanity number is a phone number that also corresponds to a distinctive combination of letters on the telephone keypad, such as 1-888-MTRGAGE or 1-888-GARDENS. 

Step 1:

Select Vanity, and then enter any combination of letters, numbers or wildcards (the * symbol) to search for an available number. Click Search.
If you want to find a number that ends with 'SALE', enter ***-SALE.

NOTE: You will be asked to enter the characters you see on the image, and then click Submit.

Step 2: 

Select your preferred number from the list of available numbers. After you select a number, click Next.

NOTE: When choosing one of these numbers: 
• A $30 one-time setup fee will be charged to the credit card on file when the Vanity number is activated on your account.
• The Vanity number that you selected will take approximately 7 days to become active.
• It is possible that the number(s) you selected may have recently been reserved by someone else, even though the number currently shows up as available.
• You will not be charged a $30 set-up fee if we find your chosen number is already taken.

Step 3: 

The Vanity number that you selected will be added to the list of Pending Vanity numbers. Once your Vanity request is approved, the account's Super Admin will receive a notification email from RingCentral. 
To close the window, click OK

Adding an International Number

Step 1:

Click International, and then select your preferred International Number Type. You can select Geographic Number or Toll-Free Number
You can select the number's location on the Select Country drop-down list. ​

NOTE: Self service countries can be processed online  while Agent supported countries require you to contact RingCentral on the number indicated to continue the adding a number for the selected country.​

Step 2: 

Click Next, and then follow the on-screen instructions
