Adding User Extensions to your RingCentral Account

SummaryAs an Account Administrator, how do I add multiple extensions to the account via the Web or RingCentral Online Account?
Details
Account administrators can add multiple extensions to your RingCentral Account via the Users tab on the Admin Portal. You can add Domestic or International users with or without a bundled phone.

The steps below will guide you to do the following:

Adding local Users with Phones

Step 1:

Log in to your RingCentral account.

Step 2:

On the Admin Portal page, click Users.

Click Users. 

Step 3:

User list is automatically displayed by default. On User list, click Add User.

NOTE:  Added Users will have their own extension numbers. The extension numbers can only be modified once the Users have been activated.

Step 4:

Once the Add Users window appears, select Domestic, and then click Next.

Step 5:

Under Add Users with Phones, do the following:

i. Enter the Number of Users that will be added.
ii. Select the State 
iii. Select the Area Code.
iv. Click Select a Device.

NOTE: You may enter two (2) or more if the Users have the same State, Area Code, and phone.

Step 6:

Select a Device. You can select under Recently Brought, Desktop Phones, and Other Phones. When you have selected a device, click the picture of the device that will be added to the user, and then click Select.

Step 7:

Click Add.

NOTE: Follow Steps 5 to 7 to add another User. Only follow this step if User to be added satisfies the following conditions:

• The User is in a different location but has the same State and Area Code.
• The User will use a different phone.

Otherwise, go to the next step below.

Step 8:

Review the charges at the bottom right part of the page if you have no more Users to add and if you do not want to edit the Area Code anymore. Click Next.

NOTE: Total charges do not include taxes, fees and pro-rates.

QUICK TIP: To remove your order, click Delete

Step 9:

Set the Shipping Address for the User/s' phones.

Click Edit to change the current address set or click New to enter a new address.
Type a new name under Ship Attention To.
Select your Shipping Option.

Tick the checkbox beside the Area Code when done, and then click Create Shipping Group.

Step 10:

Click Next.

Step 11:

Tick the checkbox to confirm that you have read and understood the charges, and authorize the monthly recurring charges, and then click Next.

NOTE: RingCentral has set limits for the protection of customers from fraudulent activities or over usage. You may get a message saying that you have exceeded the maximum allowed value that can be processed on your account in a single billing cycle. For security purposes, please contact RingCentral Customer Service to verify your Billing Information and request an account limit increase and proceed with your desired transaction.  

Step 12:

Click Print to save a hard copy of the order. Click Done otherwise.

Step 13:

A dialog box appears stating the order is being processed and that a confirmation email will be sent to the email address of the Super Admin. Click OK.​

NOTE:  Check your email for the Order Confirmation to complete the order process. This will be added to the unassigned extensions list. To assign the extension to a User, the Administrator must go to the unassigned extensions list and manually fill out the User's details. See Activating an Unassigned User Extension for details.

Adding local Users without Phones

Step 1:

Log in to your RingCentral account.

Step 2:

On the Admin Portal page, click Users.

Click Users. 

Step 3:

User list is automatically displayed by default. On User list, click Add User.

NOTE:  Added Users will have their own extension numbers. The extension numbers can only be modified once the Users have been activated.

Step 4:

Once the Add Users window appears, select Domestic, and then click Next.

NOTE: Selecting International lets you add a RingCentral Global Office Number.

Step 5:

If you already have RingCentral compatible IP Phones, you can add users without purchasing phones. Enter the Number of Users, and then click Add. Selecting a State and Area Code are optional.

Step 6:

Tick the checkbox to confirm that you have read and understood the charges, and authorize the monthly recurring charges, and then click Next.

Step 7:

Click Print to save a hard copy of the order. Click Done otherwise.

Step 8:
