Details
The User Details section contain information such as password, voicemail greeting, User hours, time zone, time and regional format, and language settings.

Administrators: Updating the User Details on your extension


Account Administrators can modify a User's information, password, voicemail greeting, User hours, time zone, time and regional format, and language settings in the User Details section on the RingCentral Online account.

Users cannot change the extension number assigned by the System Administrator. The Administrator sets the Roles and Permissions for each User in order to control the settings you are allowed to access or edit. Contact your Administrator if some settings are not available to you.


Step 1:


Log in to the RingCentral Online account.


Step 2:


Click Admin Portal, then click My Extension

Administrators: Updating the User Details of a User


IMPORTANT: Only Super Admins, User Admins, and Users with User Admin access can set up an extension's User Greeting. See User Roles and Permissions for more information.


Step 1:


Log in to the RingCentral Online account.


Step 2:


On the Admin Portal, click Users.

The Administrator should log in to the RingCentral Online account and go to the Users section on the Admin Portal.


Step 3:


On the User list > Users With Extensions tab, click the User.

Users: Updating your User Details 


RingCentral Users can modify their information, password, voicemail greeting, User hours, time zone, time and regional format, and language settings in the User Details section on the RingCentral Online account.

Users cannot change the extension number assigned by the system administrator. The Administrator sets the Roles and Permissions for each User in order to control the settings you are allowed to access or edit. Contact your Administrator if some settings are not available to you.


Step 1:


Log in to the RingCentral Online account.

Click Settings, then click User Details
 


Updating the User Details section


The User Details section has 2 tabs, General and Settings & Permissions. The following tabs let you:
 
GeneralModify your contact details (First Name, Last Name, Department, Mobile Phone, Contact Phone, Email)
Set your email to be used for logging in.
Record your User name.
Allow RingCentral to send product information, etc.
Change your password.
Settings & PermissionsModify your Regional Settings.
View your role.
Assign Users who can schedule Meetings on your behalf.
Set your working hours.
View User Groups you are part of.

General tab settings


Users can view and modify the following information on the General tab. *

4Mobile PhoneEnter your mobile phone number.
5* StatusShows enabled when your extension is active, and cannot be modified.

NOTE: You will not be able to log in to your Online account when your extension is disabled.
6Yes, I would like to receive information on product education, training materials, etcCheck this box if you prefer to receive information on product education, training materials, etc.
7Record User NameThis setting helps you ensure that your name is pronounced correctly by the system operator.

You can either use RingCentral text-to-speech to create a phonetic spelling of your name or select Record my name to speak or import the correct pronunciation.

Check User: Record your User Name to learn how you can set this up.
8Contact PhoneThis number will be used to contact you if your identity needs to be verified.
9EmailThis is used for RingCentral communications and notifications. If your RingCentral account is enabled for Google G Suite, enter a valid Google email address.
10Use email to log inChecking this box allows your Admin to enable you to log into your RingCentral account using your corporate email address and password.

NOTE: In order to use email as your login, your email address must not be associated with another user's extension.

11PasswordClick Change Password so you can update your Password, PIN, and Security Question. Refer to the next section below for more information.



Changing your Password, PIN, and Security Question


Users will see 3 tabs on the Change Password window.

Changing your Password


IMPORTANT: Your password should meet the following criteria:
 
• One (1) letter
• One (1) number
• One (1) special character (!, @, #, $, %, ^, &, * , .) or One (1) uppercase letter
• At least eight (8) characters with a maximum of 32 characters.
• No repeating or sequential characters/numbers.

Enter your Current Password, and then enter your New Password. Re-enter your new password in the Confirm Password box.

Click Save.



Changing your PIN


The PIN is used to verify the User's identity when checking their voicemail from a phone or in the automated attendant when contacting Customer Care.

IMPORTANT: Your new PIN must meet the following criteria:
 
• At least 6 numbers
• Maximum of 10 numbers
• Numbers only
• Non-sequential and Non-repeating
 
To change your PIN, click Change PIN.

Enter your Current Password, then enter the New PIN. Re-enter your new password in the Confirm PIN box.

Click Save.

Enter your Current Password, then click the drop-down box below Security Question.

Select a question from the list.

Users can adjust the following on the Settings & Permissions tab. **

2Roles ** This setting cannot be modified.

This shows you a list of the role/s assigned to you by your Admin. A role is a collection of permissions that could be based on a job function.

Check User Roles and Permissions for more information.
3Schedule Meetings for MeClick Edit to grant permission to other Users in RingCentral Meetings to schedule a Meeting on your behalf.

Go to Configuring Schedule Meetings for Me Settings to learn more.
4User HoursCheck User: Configure User and After hours to learn how you can set your working hours.
5User Groups** This setting cannot be modified.

This specifies any User Groups where you are a member. The User group manager can modify your settings and view your Call Log.

6Template NOTE: This setting is only available to User Admins.

Click Apply to select a template that needs to be applied to your extension.

Changing your Regional Settings


You can modify the following on this page.

Regional SettingsHow to modify
1Time ZoneClick the drop-down box, then set the Time Zone.
2Home Country CodeClick the drop-down box, then set the Home Country Code.
3Greetings LanguageChoose the language you want to use for your phone greetings.

Click the drop-down box, then select your preferred Greetings Language.
4Time FormatSelect either the 12 h or 24 h format.
5User LanguageChoose the language used to view your account and notifications.
6Regional FormatChoose the format used to show date, time, currency, and other numbers.


NOTE: The hours of operation and time zone you set on your extension's settings will sync with your assigned deskphone and RingCentral Phone. For more information, go to Polycom Phones - Set or Change Date and Time.

Configuring Schedule Meetings for Me Settings


Schedule Meetings for Me simplifies the process of scheduling RingCentral Meetings without the need to log in to different accounts to host Meetings for others. For example, a manager can assign his/her executive assistant to schedule Meetings for them.

Select the User/s you permit to schedule a Meeting on your behalf. Click Save.

Applying a Template to your extension


Select a template to be applied to your extension. You may opt to send a notification to yourself regarding the change.

Click Apply Template.
