Submitting a Number Transfer Request via the RingCentral Online Account

SummaryAs an Account Administrator, how do I submit a Number Transfer Request?
Details
A Transferred Number is a number that has been transferred from your previous provider to RingCentral. Submitting a Number Transfer Request for non-RingCentral phone numbers can be done through your online account. 

NOTE: If you want to maintain the phone number with your current provider and only have the calls forwarded automatically to your RingCentral Account, go to Forwarding Calls to Your RingCentral Number.  

To check the status of your Transfer Request, go to Checking the Status of your Transferred Numbers.
 
IMPORTANT: Transferring existing numbers is defined and regulated by the Federal Communications Commission (FCC) in United States and Canadian Radio-television and Telecommunications Commission (CRTC) in Canada. We make every effort to transfer your number to RingCentral in a timely manner. However, the actual transfer and the time of your transfer depends on the cooperation and release of the telephone number from your current telephone service provider. Business SMS (if available on your service plan) activation could take 72 hours up to 5 additional business days after your number is transferred. Only the phone number may be transferred to RingCentral for those bundled with DSL service. Visit the links below to learn more about telephone number transferring.

NOTE: You must be assigned to the Super Admin, Phones System Admin or Custom Role with permission to access Phone System > Company Numbers & Info to submit a Number Transfer Request and perform the steps below.

Under the Use My Existing Number window, click the type of number that you want to transfer / port into RingCentral.

Local US Number

Step 1:

The Pre-Check window has 7 preliminary questions which you need to answer with either a Yes or No.

2Do you have the latest bill ready to be uploaded for the number you are transferring?• If you do not have copy of your bill to upload, please understand that we may ask you for it at another time to assist with the correction of any rejections. This may also delay the processing time if we need to gather further information at a later date.
3Do you currently have DSL/Broadband on any of the numbers you are transferring?• You will lose your DSL/Broadband internet service if RingCentral transfers a phone number associated with your DSL/Broadband account. You must remove your DSL/Broadband internet service before the number is transferred. Please call your service provider and get a new phone number for your DSL/Broadband line before you submit your transfer request.
4Are  you transferring more than one local number?• Transferring multiple numbers coming from only one account and provider might require your to address possible issues involving the numbers you are transferring.
5Do you currently have any open orders with your current Service Provider?• If you select Yes, you will need to cancel all open orders with your current provider or your transfer request will fail.
6Are you transferring all of your numbers from your current Service Provider? • Select Yes to transfer all your numbers from the account associated with your current Service Provider.
7Have you received your RingCentral phones?• You should only transfer your numbers once you have received and set up your phones. If you are using existing phones or using these numbers strictly for forwarding calls to existing phones, click Yes.

Step 2: 

Enter your Billing Telephone Number (Main number of the account with your current provider), and then click Check. This is the first step required to check if your telephone number is transferrable to RingCentral.
 
1. What if I have more than one Billing Telephone Number?
If you are transferring numbers with different Billing Telephone Numbers, please create transfer request for each Billing Telephone Number.

2. What if I'm transferring a mobile number?
Please use the first phone number on your phone bill.

Step 3: 

If you want to transfer/ port in your Billing Telephone Number to RingCentral, tick the box next to I want to transfer my Billing Telephone Number, and then click Next.

​If your Billing Telephone Number is the only number in your account, leave the box blank, and then click Next.

If you want to port in / transfer the numbers associated with your Billing Telephone Number, enter the numbers separated by commas or semicolons in the box provided, and then click Next

Do not include your Billing Telephone Number on the list. If you want to include your Billing Telephone Number in the transfer request, tick I want to transfer my Billing Telephone Number.

NOTE: If you are transferring more than 100 telephone numbers at a time, please contact RingCentral Project Porting at project.porting@ringcentral.com to discuss your options.

Step 4:

Review the list of numbers to be transferred, and then click Next. For corrections, click the Back button.

Step 5: 

Select your preferred transfer date by clicking on the Calendar icon.
Please do not choose a Federal Holiday, the order will be rejected from your losing carrier.
Processing times vary by order complexity and size. The actual transfer date may be later than the requested due date.

You have 2 options for the transfer number: 
1. Add the transfer number as an additional number
1. Add the transfer number as an additional number.
To add the transfer number as an additional number on your account, click Next.

A summary will be displayed in a pop-up window with a note that a fee of $4.99 will apply for each additional number that will be added to your account after the transfer request completion. Click Next

2. Match a temporary number you are going to replace with a number you are transferring
To replace a number in your account with the number you are transferring, click Select Temporary Number.

You will see the list of your RingCentral numbers in a pop-up window. Select the number that you want to replace, and then click Next

Step 7:

For security purposes, your local telephone provider (the current phone company that owns the number you are transferring) requires you to provide your information from the other provider, and then click Next.

IMPORTANT: Enter all information exactly as your current phone company has it on file. It may require you to contact your current provider.

1. Type of Account - State if Business or Residential
2. Name on Account - Enter the name of the person authorized to make changes to the account.
3. Company Name - Only include if on the bill copy. Enter the company name exactly as it appears on your phone bill from the other provider.
4. Service Address - Provide the physical service address of the phone number. Do not enter billing addresses or P.O. boxes.
5. Your Contact Phone Number - Enter a number where we can call you if there is a problem with the port request.
6. Account Number - Enter the Account Number where the number you are transferring is associated with. Tick the box next to it if the number you are requesting to transfer is a mobile number. 
7. Account PIN or last 4 digits of Social Security Number - Account PIN if available can be obtained from your current provider. Some companies use the Social Security Number of the account holder as a PIN.

Step 6: 

Please check the information you provided. It must match the information on the latest bill from the phone company from which you are transferring your number, and then click Next.
Incorrect information will result in a drastic delay and/or rejection of your number port. For corrections, click the Back button. 

IMPORTANT: You must notify your current phone company if you have any other phone numbers associated with your current billing telephone number (BTN) that you are not porting, and have those numbers switched to a different BTN. Otherwise, your provider will reject your transfer request.

Step 7: 

Upload a copy of the latest bill of the number being transferred.
Click the Browse button to locate the file in your computer. The supported file format is PDF.

NOTE: If you are not ready to upload these documents now, click Next and you can do it later by following the steps in Checking the Status of your Transferred Numbers.

Click the Attach button to upload the file.

Step 9: 

If you are not transferring all of your phone numbers in the same Billing Account Number, please list the remaining phone numbers on the box provided under the Additional Comments and the action to be taken for each phone number. Provide any additional information and instructions to support a successful porting experience.

Step 10: 

Please enter your email address to receive all number porting notification emails, and then click Next. It is optional, and if you leave it empty, all notification emails will be sent to the System Admin user.

Step 11: 

Review the information provided in the Standard Letter of Agency Document.

You have 2 options for signing the LOA (Letter of Authorization), select one from the following, and then click Next

1. I Agree. I consent to use electronic records and signatures in connection with my request to transfer my telephone number to RingCentral.
- If you select this option, RingCentral will use the information and electronic signature in the form. 

2. No thanks. I do not consent to use electronic records and signatures in connection with my telephone number transfer request. I understand that RingCentral will not be able to begin processing my request until the Letter of Authorization is received. 
- If you select this option, you will need to manually download, sign, and upload the LOA. You can do it later by following the steps in Checking the Status of your Transferred Numbers.

Step 12: 

Read the note, and then click Complete to close the window.

Transferring typically takes between 2-14 days (but occasionally up to four weeks), and depends on your current telephone service provider. The transfer date depends on your current telephone service provider releasing the number. Your number will be available for use within 24 hours of its release. 

To ensure the proper handling of your number transfer:

 
Contact your current telephone service provider and make sure you don't have any holds on your account.
Do not place an order to disconnect your service with your current telephone service provider until the phone number transfer completes and is in use with RingCentral for at least one week.
Contact your current telephone service provider to cancel any additional telephone services associated with your number, such as call forwarding, hunt groups, voicemail, etc.
Contact your current telephone provider and cancel any pending orders if you have submitted any.
Notify your current telephone service provider if you have any other phone numbers associated with your current billing telephone number (BTN) that you are not porting, and have those numbers switched to a different BTN.

 
We will notify you and help you resubmit your case if your current telephone service provider denies the transfer. Otherwise, we will send you an email notification once the process is complete, or when your current telephone service provider updates us with more information.

Toll-Free Number

NOTE: Please have your latest Billing statement ready for uploading for the number you are transferring before you proceed.

Step 1:

Transfer My Existing Numbers: Pre-Check Question:
Do you have the latest bill ready to be uploaded for the number you are transferring? 
If you have the latest bill for the number you are transferring, click Yes, and then click Next

Enter the numbers you would like to transfer separated by commas or semicolons in the box provided, and then click Next. This is the first step required to check if your telephone number is transferrable to RingCentral.

Please enter your email address to receive all number porting notification emails, and then click Next. It is optional, and if you leave it empty, all notification emails will be sent to the System Admin user.

Step 8: 

FCC regulations require us to provide a live signature and a copy of the latest bill - not older than 45 days - for the Toll Free Number being transferred. Click Download LOA to download the Letter of Authorization, sign it, and then use the upload mechanism provided on the next page within 30 minutes, otherwise the order cannot be submitted successfully.

Step 9: 

To successfully submit your request, we need a hand signed Letter of Authorization and a copy of your recent bill / invoice. 
Please sign the copy of the LOA you have downloaded and attach it on the space provided, along with a copy of the latest bill for the Toll Free Number being transferred within 30 minutes. To attach the requirements, click the Browse button. Once attached, click Complete.

Step 1:

Checking the Status of your Transferred Numbers

The steps below covers the following topics:
 
1. Download the LOA (Letter of Authorization)
2. Upload the LOA (Letter of Authorization)
3. Upload the CoB (Copy of Billing)
4. Check the status of your Number Transfer Request

Since you do not consent to use electronic records and signatures, please download the Letter of Authorization (LOA) using the Download LOA button, and then sign the LOA. You will need PDF reader. 2. More Options: Upload LOA and CoB

Click the vertical ellipsis icon User-added image to show the option to Upload a signed copy of the Letter of Authorization (LOA) and latest Copy of Billing in PDF format

3. Order Number and Date Created

Shows your transfer request's Order Number and the Date the transfer was created/requested.

4. Status and Requested Transfer Date

Shows the Status of your Number Transfer Request, and your Requested Transfer Date.

5. Number to be Transferred 

Shows the list of number/s to be transferred to RingCentral.
