Details

RingCentral Meetings is designed for open exchanges and interactive communications. The Host has access to special controls to help manage the meeting as well as the participants. At the same time, Participants can also control their own audio and video displays, and share their desktop screens.

Host Options During RingCentral Meetings

The Host has special controls for managing a Meeting. The images below show how the main Meetings screen looks like on both iOS and Android devices.

 CONTROLFUNCTION
AudioTurn audio ON or OFF.
VideoTurn video ON or OFF.
ShareGives the option to share the following:
Photo, Document, Box, Dropbox, Google Drive, OneDrive, Web URL, Bookmark and Screen.
ParticipantsOpens the Participants list to view more controls.
MoreOpens more Meeting options, such as Lock Meeting, Lock Share, Mute Upon Entry, Play Enter/Exit Chime, and Disconnect Audio.
SwitchChoose to use the front or rear camera.
Wired Headset / Speaker Tapping Wired Headset enables the Speaker and vice versa.
End / Leave Tap to end or leave the Meeting.

 

Sharing Files during a Meeting

RingCentral Meetings for Mobile lets you share documents from your iOS or Android device.

Tap Share and you will see options to share the following during an ongoing Meeting: Photo, Document, Box, Dropbox, Google Drive, OneDrive, Web URL, and Bookmark.

More Menu options for the Host during a Meeting

Tap More to view Meeting options, such as Lock Meeting, Lock Share, Mute Upon Entry, Play Enter/Exit Chime, and Disconnect Audio.

The table below summarizes the functions of the following controls under the More Menu.

 CONTROLFUNCTION
Lock MeetingWhen enabled: no additional participants will be able to join the Meeting.
Lock ShareWhen enabled: only the host will be able to share the screen.
Mute on entryWhen enabled: mutes attendees upon joining a Meeting.
Play Enter/Exit ChimeWhen enabled: plays the enter and exit chime.
Disconnect AudioDisconnects the Meeting audio.


If the Host assigns his/her role to a Participant, it can be reclaimed by tapping the More Menu.

Host's Participant Management Controls

Hosts can control certain functions of all participants by opening the Participants list. 

The image below shows how the Participants screen looks like on an Android device.

The Participants screen on an iOS device is similar to an Android's Participants screen, except for minor differences at the bottom.

The table below presents the controls a Host can access during an ongoing Meeting. 

 CONTROLFUNCTION
ChatsOpens the Meeting's chat room.
InviteAllows the host to invite Meeting attendees via the following:
iOS: Send Email, Send Message, or Copy URL
Android: Contacts, Hangouts, Gmail, Email, or Copy URL.
Mute AllMutes all current and new Meeting participants.
Provides an option to allow participants to unmute themselves.
Unmute AllUnmutes all participants.
CloseCloses the Participants window.

 

Opening the Participants' Raised Hands Screen

During a meeting, participants can call the attention of the Host by raising their hands. Select your device below:

The Host should tap the Raised Hands button at the bottom to open the Raised Hands screen. The image below shows how the Host can access the Participants' Raised Hands screen on an iOS device.

Raised Hands Screen on Android Devices

The Host should tap the Raised Hands button which appeared on the screen to open the Raised Hands screen. Tap the name of the person who raised his hand, then tap Lower Hand. Back in the Participants screen, tap Close.

NOTE: The Host should perform the same steps for the other participants who have raised his/her hand if more than one (1) participant raised his hand.

The Host can also select (by tapping) a participant and see options depending on their current settings. The individual Participant functions the host can control include the following:


Selected Participant Controls during a Meeting with three (3) or more attendees

Spotlight Video is another control which appears when there are three (3) or more participants in a Meeting. This feature lets the Host direct the attention to the selected participant with his/her video turned ON during the Meeting. The Host can apply this action to both Meetings desktop app and mobile app users.

NOTE: The images on the table below show participants who use the Meetings Desktop app.

Selected Participant uses the RingCentral Meetings Desktop app

The image below shows menu options for a selected participant who uses the Meetings desktop app, as viewed by the Host who uses an Android device. All these options are present on the iOS device, the only difference is the order of the menus.

NOTE: John Smith raised his hand in this example.

The table below enumerates the controls and functions the Host can control in this particular scenario.

CONTROLFUNCTION
Lower HandLowers the Participant's hand (if participant's hand is raised).
Mute/UnmuteMutes / Unmutes the Participant's audio at any time during the Meeting.
ChatEnables Host to chat with the selected Participant.
Make HostAllows Host to make the selected Participant the Host of the Meeting before leaving the Meeting. This control keeps the ongoing Meeting running even if the current Host is about to leave.
Ask to Start VideoCloses the Participants window.
RemoveRemoves the selected Participant from the Meeting.
Allow Record/
Forbid Record
Allows or forbids the selected Participant to record the Meeting (if the participant is on the Meetings desktop app).
RenameLets the Host change the participant's name.

Changing the Host's Screen Name from the Participants List

The Host can change his screen name by tapping on his name on the Participants list.

Tap Rename. Enter your new screen name, then tap OK.

Audio Menu

Tap Audio (for Android) or Join Audio (for iOS) to view the following options:

Call using Internet Audio (iOS) / Call via Device Audio (Android)

Connect to the Meeting using your device audio.

Dial In

Connect to the Meeting by dialing in on a telephone.

More Menu

Tap More to view the following options:

Raise Hand

Tap Raise Hand if you’d like to notify the host that you need their attention. The Host will get a notification that you have raised your hand.

Disconnect Audio

Connect to the Meeting by dialing in on a telephone.

Safe Driving Mode

If you are often on conference calls and Meetings while driving, use Safe Driving Mode for RingCentral Meetings. Once you have joined a Meeting, swipe right to enable Safe Driving Mode. Your video will stop and your microphone will be automatically muted.

Tap the circle in the middle of the screen that says Tap to Speak to unmute your phone. The circle will turn orange and read Done Speaking. Tap Done Speaking when you have finished speaking to mute your phone.
