Importing or Recording an Audio Prompt in the Prompts Library

Details
You can import and record audio prompts in the Prompts library for your IVR Menus. Follow the steps below to know how.

NOTE:  You need to be an Administrator to perform the following steps below.

Accessing the Prompts Library

Step 1:

Click Auto-Receptionist under Phone System and then, click Prompts Library.

You have now accessed Prompts Library. You can now import or record prompts. You can also download or delete the saved audio prompts from the Prompts Library. Click on the links below to know how.

Import Prompts

Import existing prompt files in .mp3 or .wav format from your local computer.

NOTE: This article assumes that you already have a pre-recorded file in mp3 or WAV format.

Step 1:

Click User-added image

Step 2:

Locate and double-click the file that you need to upload.

Step 3:

Click OK.

Record Prompts

Click Record Prompts to record new prompts over the phone or using your computer's microphone.

Record Over the Phone

Step 1:

Click User-added image.

Step 2:

Enter the Prompt Name.

Select the number where RingCentral can call you to record your Audio Prompt. You can also enter a different number.

Click Call Now when you are ready to proceed.

Enter the Prompt Name, then enter the number to call. Click Call Now.

Step 2:

You will receive an automated call with the instructions for recording your custom greetings. 

Press 1 to start recording and when you are done, press the pound # key. After you press the pound # key, the following prompts will be announced:

     • Press 1 - Save your custom greeting.
     • Press 2 - Listen to your greeting.
     • Press 3 - Change your greeting.

Step 3:

Your custom Audio Prompt will be saved and activated once you end the call. 

     • Click Play User-added image to listen to the recording. 
     • Click Record User-added image if you want to record the custom greeting over the phone again.
     • Click Download User-added image if you want to save the custom greeting to your computer or external storage. 

 Once satisfied, click Done.

Record Using Computer Microphone

Step 1:

Click User-added image.

Step 2:

Click Record Using Computer Microphone and enter the Prompt Name. Once you enter the Prompt Name,  click Record User-added image.

​Step 3:

Once you've finished recording your custom On-demand Call Recording Announcement, click Record again.

Click Upload User-added image.

NOTE: Click Play User-added image to listen to your recording or Record User-added image to re-record your prompt. Click Cancel to cancel recording.

Step 5:

Click Done.

NOTE: Click Play User-added image to listen to your recording or Record User-added image to re-record your prompt. Click Download User-added image to save a copy of your recording.

Record Prompts Professionally

Have your greetings and prompts professionally recorded.

Step 1:

Click Choose the voice that reflects your brand.

Step 2:

You will be redirected to the Snap Recordings Website, where you can click on Get Started or Start a Chat with a Snap Recordings representative. 
 

Download or Delete Prompts 

You can download or delete your audio prompts from the Prompts Library.

Downloading Prompts

Step 1:

Tick on the checkbox of the saved audio prompt that you want to download.

Click Download.

NOTE: Click Play User-added image to listen to your recording

Your audio prompt will now then be downloaded.

Deleting Prompts

Step 1:

Tick on the checkbox of the saved audio prompt that you want to delete.

NOTE: To delete multiple audio prompts, tick on the checkboxes of the audio prompts that you want to delete. 

Step 2:

Delete.

NOTE: If you have selected multiple prompts to be deleted, click User-added image.

Step 2:

Click Delete to confirm.
