Scheduling a RingCentral Webinar with Registration

RingCentral Webinar is an add-on for RingCentral Meetings that lets you host virtual events and online trainings with up to 3,000 attendees, joining from desktop, tablet and smart devices. After assigning a RingCentral Webinar to a User, he/s/he can now schedule a RingCentral Webinar. The steps below will guide you on how to schedule a RingCentral Webinar with Registration.

Step 1:

Log in to your RingCentral Online Account, and then click Tools > Meetings.

NOTE:  If you are logged in as an Administrator, click on the drop-down arrow and select My Extension before clicking on Tools > Meetings.

Step 2:

Click My Webinars, and then select Schedule a Webinar.

Step 3:

Enter your RingCentral Webinar information, and then click Schedule.

Once your RingCentral Webinar is set, it will be under Upcoming Webinars.

To send a Webinar Meeting invite, you can copy the email invite or email the invite to yourself and send it to your participants. See Inviting Users to a RingCentral Webinar for details.

By default, RingCentral Webinars will have Registration. You can set the following Registration options:
 
i.  Manually Approve Participants - The host of the Webinar will manually approve or decline whether a participant receives the information to join the Webinar.
ii.  Automatically Approve Participants - All participants to the Webinar will automatically receive information on how to join the Webinar.

Manually Approve Participants

Step 1:

Click on your scheduled Webinar under Upcoming Webinars.

Step 2:
Scroll down to Invite Attendees and click Edit on Approval.

Step 3:
Select Manually Approve, and then click Save All.

Step 5:

After an attendee has registered, scroll down to Manage Attendees and click Edit.

Step 6:

Select a Registrant and click Approve or Deny

NOTE: If you approve participant/s, they will receive an email with information on how to join RingCentral Webinar. If you deny participant/s, you can send a denial email.

Denied registrants will appear under the Denied/Blocked tab. To approved denied registrants/s, just select the registrants/s that you want to approve and click Approve.

You have now manually approved registrants on your RingCentral Webinar. Approved registrants will appear under the Approved tab. You can still cancel registrant/s' registration or resend the confirmation email. Just select the registrant/s and click Cancel Registration or Resend Confirmation Email.

NOTE:  If you cancel participant/s' registration, you can send a cancellation email.

Automatically Approve Participants

Step 1:

Click on your scheduled Webinar under Upcoming Webinars.

Step 2:
Scroll down to Invite Attendees and click Edit on Approval.

Step 3:
Select Automatically Approve, and then click Save All.

NOTE: If the registration has been previously set to Manually Approve and there are still pending approvals, a notification will appear. Changing the setting will automatically approve pending approvals and send each one a confirmation email. Click Save All if you would like to proceed.
