Blocking Calls and Faxes on your RingCentral Online Account

SummaryBlocking phone numbers allows you to filter and choose who can call you or send you a fax. It is a good way to prevent unwanted calls and spam messages. When a number is added to the blocked numbers list, it blocks all incoming calls and faxes from that number.

Block calls and faxes from specific numbers, area codes, phones with no caller ID, faxes, and payphones.

Rules

• When a number is added to the blocked numbers list, it blocks all incoming calls, faxes and text messages from that number.
• When Users block a number, it is only applied to the extension where they are logged in.
• If the Super Admin blocks a number while logged in to the System Extension (the main extension of the account), it is applied to all extensions in the account; which means that the blocked number is prevented from calling any number associated with the account.

The following behavior are observed when a number is added to a User's blocked list: 

The User/ Extension who added a number to its blocked list can still call and send faxes to a blocked number.
The User/ Extension who added a number to its blocked list will be unable to send a text message to a blocked number and will get an error message Message not delivered. The recipient number is not valid.
The blocked number will NOT get any message or indicator that the text message sent to the User/ Extension is blocked/not sent.
 

The option to block SMS or MMS ONLY is currently NOT available.

To request for the option to block SMS or MMS only, you can Submit a request for a new Idea or Feature via the RingCentral Community. If you want to disable the SMS or MMS feature on one or multiple RingCentral local numbers on your account, please contact RingCentral Customer Support by clicking on the links below.

This article shows how telephone numbers can be blocked by Users and Administrators.

For Fax-only accounts

For RingCentral Office or Professional accounts:

Blocking Phone numbers for Account Administrators - This is applicable when configuring another User's settings.

Blocking Phone numbers for Fax-only accounts

Follow the steps below to configure your account to block all calls or just the specific calls and faxes.

Step 1:

Click Settings.

Step 2:

Click Caller ID & Blocked Calls located in the middle of the page.

Click Caller ID & Blocked Calls.


Step 3:

Click Blocked Calls.

Click Blocked Calls.


Step 4:

Select whether you prefer to block all calls or just the specific calls and faxes.

Block specific calls and faxes

Select Block specific calls and faxes if you want to prevent certain numbers from calling or sending you a fax.

Enter the Phone Number and Name (optional) for you to quickly identify the blocked number, and then click Block.

Click Save to apply your changes.

NOTE: You can remove a blocked number from the list by clicking the Delete icon Delete icon  next to the number that you wish to delete. You may tick the Faxes checkbox under Block calls with no Caller ID to prevent senders with unknown Caller IDs from sending you a fax. You may also tick Block calls from Pay Phones to restrict calls from pay phones. This is an optional step.
 

Block all calls (includes faxes)

Select Block all calls if you only want to allow calls and faxes from specific area codes or numbers. If you Block all calls, you can specify the exceptions of which calls you wish to allow.  

Enter the Phone Number and Name (optional) for you to quickly identify the blocked number, and then click Allow.

Click Save to apply your changes.

Blocking Phone numbers as a User

Go to Settings > Screening, Greeting & Hold Music > Blocked Calls.

You can also click My Greeting & Call Screening under Shortcuts under the Overview tab. This will redirect you to the section on your account where you can configure your Blocked Calls list.

Blocking Phone numbers as an Account Administrator

Account Administrators can set phone numbers to be blocked per user by following the procedure below:


Step 1:

Go to Users > Users list.

Under Users with Extension, click on the User that you wish to configure.

Click Screening, Greeting & Hold Music > Blocked Calls.

Setting up Blocked Calls


Step 1:

Under Blocked Calls, select your Block option. You may select from the following:

• Specific Calls and Faxes - Select this option if you want to prevent certain numbers from calling you. Enter the Phone Numbersor Area Codes and Name in the respective fields under the Only block these numbers or area codes fields, and then click Add.

NOTE: Click Delete to remove or change a blocked number from the list.

• All Calls - You will not receive any calls unless you specify allowed numbers. Use block all calls if you only want to allow calls from a few specific area codes or numbers. If you block all calls, you can specify the exceptions of which calls you wish to allow below. Enter the Phone Numbers or Area Codes and Name in the respective fields under the Allowed numbers and area codesfields, and then click Add.

Step 2:

Configure what blocked Callers will hear. Click Edit to select your own language to display the default greeting text and then click Save.

NOTE: Your selection here affects only your current view of the greeting text, it will not change the Greetings Language setting.


Step 3:

Configure Block calls with no caller ID. You may block None, Calls and Faxes, and Faxes.

Selecting either Calls and Faxes or Faxes allow you to configure what blocked pay phone callers will hear. Click Edit to select your own language to display the default greeting text and then click Save.

NOTE: Skip this step if you select All Calls as a Block Option for Blocked Calls.


Step 4:

Block calls from pay phones is enabled by default. You may also configure what blocked pay phone callers will hear. Click Edit to select your own language to display the default greeting text and then click Save.

If you disable Block calls from pay phones, a confirmation may appear. Click I Accept if you wish to confirm.

Step 5:

Blocking Phone Numbers in the Overview tab


Step 1:

In the Overview tab, click the box next to the phone number you want to block under Recent Messages or Recent Calls to mark it, and then click Block.

On the Add Number to Block List pop-up window, click Yes to confirm.

Step 1:

In the Call Logs tab, click the box next to the phone number you want to block, and then click Block.
