Enabling an Unassigned User Extension


The instructions below show how an Account administrator can enable an Unassigned User Extension on the account. This will allow Account Administrators to assign an extension to a User.

1. Log in to your RingCentral account as an administrator.

2. Click Users.

3. Click Unassigned Extensions, select the Name you want to activate.

4. Enter the required User Details:

• First Name
• Last Name
• Department
• Email Address
• Assigned Role
• Extension Number
• Direct Number
• Mobile Phone
• Select User Language
• Select Greeting Language
• Select Regional Format 

5. Click Save & Enable.

6. Click OK on the confirmation window.

IMPORTANT: An Activation Email will be sent to the email address on file. The Activation Email will allow the User to create a Pin, Password and Security Question to activate the Extension.
 

Activating a User Extension

The steps below demonstrates how Account Administrators can activate a User Extension.

1. Log in to your RingCentral account.  

2. On the Admin Portal page, click Users.

3. Click the name of the User that needs to be activated.

NOTE: Users that are not yet activated will have the gray icon User-added image before their names on the list.

4. Activate the User Extension using any of the 2 methods below:
 

Activation within the Users with Extensions tab

1. Under the Users With Extensions tab, look for the User that you want to activate and hover your mouse over it. The Resend Invite link will illuminate

2. Click Resend Invite to send a welcome email to the Email Address listed for the User.

3. Advise the User to open the Welcome Email and open the activation link. The User can then follow the steps provided on the Set up screen.

NOTE: If you are unsure of what Email Address is listed for this User, follow the steps for activation via the User Details section.
 

Activation via the User Details section

1. Under the Users With Extensions tab, click the name of the User that you want to activate.

2. Check if the User's Email Address is correct.

3. Click on Resend Welcome Email.

Advise the User to open the Welcome Email and open the activation link. The User can then follow the steps provided on the Set up screen.
 

Reactivating a Disabled User Extension

Account Administrators can reactivate a disabled User Extension by following the steps below:

1. Log in to your RingCentral account as an administrator.

2. On the Admin Portal page, click Users.

You will know an extension is disabled if there's a red x icon Disabled Extension button before the User's name. When you hover your mouse over the User that you want to enable, the Enable link will illuminate.

3. Click Enable to re-enable the User's extension.
