Automatic Call Recording is a feature on your RingCentral account which enables you to record incoming and outgoing calls automatically. You can also playback the recordings, download the recorded call logs for sales and support training, compliance and etc. For more information about Automatic Call Recording, go to Configuring the Call Recording Settings on your RingCentral account.

You can customize this feature by recording your own greeting or uploading a pre-recorded file. For instructions, follow the steps below:

NOTE: You need to be an Administrator to perform the following procedure.

Step 1:

Go to Admin Portal, and then click Phone System.

Step 3: 

Go to Auto-Receptionist and click Call Recording.

Step 4:

Enable Automatic Call Recording.

IMPORTANT: Certain laws require that your callers hear a call-recording notification before and after a call is recorded. As an administrator, you need to make sure your company's call recording proceures comply with all applicable laws and regulations. RingCentral is not responsible for your company's compliance.

Step 5: 

Click Edit under Call Recording Announcement.

Step 6:

Select Custom to record or upload a personalized Call Recording Announcement.

NOTE: The Automatic Call Recording Announcement is originally set to Default.

You customize your Automatic Call Recording Announcement in three (3) ways:

Record over the phone
Record over the computer microphone
Import 

Record over the phone

This option will allow you to record your customized Automatic Call Recording Announcement over the phone.

Step 1: 

On Record Over the PhoneEnter a new number where RingCentral can call you to record your custom greeting over the phone. Click Call Now when you are ready to receive the call and start recording. 

Step 2:

You will receive an automated call from RingCentral on the number the you selected, with the instructions for recording your custom greetings. Press 1 to start recording and when you are done, press the pound # key. After you press the pound key, the following prompts will be announced:

• Press 1 - Save your custom greeting.
• Press 2 - Listen to your greeting.
• Press 3 - Change your greeting.

Step 3:

When you are done recording your custom announcement, the page will redirect to the Call Recording Announcement section, where you can do the following.

Click the Play button to listen to your custom Automatic Call Recording Announcement.

Click the Re-record button to change or replace your custom Automatic Call Recording Announcement.

Click the Download button to download and save your custom Automatic Call Recording Announcement to your computer.

Step 4:

Click Done.

Step 5: 

The page will redirect to the Call Recording Settings section. Click Save.

Record over the computer microphone

This option will allow you to record your customized Automatic Call Recording Announcement over the computer microphone.

Step 1:

Click on the Record button to start recording the Custom Greeting.

NOTE: Press the Record button again to stop the recording.

Step 2:

Press the Play button to listen to the recording.

Step 3:

Click on the customize automatic call recording - click upload icon Upload button to to save the custom greeting.

Step 4:

Click Done.

Step 5:

The page will redirect to the Call Recording Settings section. Click Save.

Import

This option will allow you to upload a customized pre-recorded audio file stored from your computer/device.

Step 1: 

On  Import, click Browse to locate the recording.

NOTE: After you click Browse, you will see a pop-up window where you can locate and select the file that you want to use as your Automatic Call Recording Announcement. We recommend the use of .wav or .mp3 audio files with the following format for best audio quality: 
• CCITT u-Law (G711a), 8 kHz, 8-bit, mono
• PCM, 8 kHz, 16-bit, mono

Step 2: 

Click Open to attach the file you want to use as your Automatic Call Recording Announcement.

Step 3:

Press the Play button to listen to the recording.

Click Done to retain the changes.

Step 5: 

The page will redirect to the Call Recording Settings section. Click Save.
