SummaryHow do I configure the Presence settings of a User who needs to monitor calls?

Presence enables you to detect the phone status of your colleagues and display on your desk phones. Presence-capable phones have status indicator lights which allow the Admins to see who is available, busy, or on hold. Administrators can configure Presence settings for QAs, Supervisors, and Managers alike who need to monitor calls made by other Users in real time.

NOTE: Administrators should log in to the RingCentral Online account then go to My Extension in order to configure his Presence settings. Check User: Configure Presence Settings for directions.

IMPORTANT: Only Super Admins, User Admins, and Users with User Admin access can view and make changes to this section. See User Roles and Permissions for more information.

Follow the steps below to configure the Presence settings of QAs, Supervisors, or Managers (or anyone who needs to monitor calls).


Step 1:

On the User list > Users With Extensions tab, click the User who will be monitoring calls.

In this example, we selected Bob Miller who is a Manager.

Step 2:

Click Phones & Numbers.

Click Phones & Numbers.


Step 3:

Click the Phones tab, then click Presence.

Step 4:

Under Appearance, click Select a User

NOTE: Users you selected will appear on your desk phone and softphone.

On Appearance, click Select a User.


Step 5:

Select the User who will be monitored. 

In this example, Bob Miller will be monitoring Sam Smith.
 
Click Done.

NOTE: To add another User to be monitored, click Select a User then follow Steps 4 to 5.


Step 6:

Review the list of Users. Click Change User to replace the User with another, then click Done.

Click Delete to remove the User from the list.

Step 7:

You may also enable the following settings in order to use all call monitoring features on the Presence screen.

• Ring my phone when any user I am monitoring rings
• Enable me to pick up a monitored line on hold

Step 8:

Click Preview on my phones.

Click Preview on my phone.

If you have a desk phone, you can view how the Users will appear on your phone's display. Click the name of your phone on the left. Click Done to exit the screen.

Step 9:

Click Save on the Presence window.

Step 10:

Click Yes.

NOTE: The selected Users' phones will restart. Users who can monitor calls will now be able to use easy to access buttons on the phone for call monitoring. Presence settings will also apply to other desk phones associated with the extension.
