Unassigned Phones Overview

SummaryGetting to know the Unassigned Phone section of your RingCentral account.

An Unassigned phone is an IP phone in your account that is not yet activated or assigned to a User. Unassigned phones do not have a monthly service cost until they are associated with a Digital line. RingCentral allows you to add or order phones in advance or keep existing phones until they need to be re-assigned to active users in the future. In other words, an unassigned phone is a reserved phone in your account's stockpile.

This article demonstrates how Account administrators can set up and manage your account's pool of unassigned devices using the RingCentral Online account. Click any of the links below to learn more:

Add an Unassigned phone to your account

Step 1:

Once logged in, the Admin Portal automatically displays the Phone System section.

Under Phone System, click Phones & Devices.

Step 3:

Click Unassigned.

Click Unassigned.

Step 4:

Click Add Device.

Click Add Device.

Step 5: 

Select Domestic, then click Next.

NOTE: For instructions on how to add a Desk phone that will be used in an International location, go to Adding a RingCentral Global Office Number through the Online Account.

Select Domestic, then click Next.

Step 6: 

Select a device. Click Add to Cart once selected, and then click Next.

Step 7: 

Select your preferred Shipping Address or click New to add a new address. Select your Shipping Option, 
select your device, and then click Create Shipping Group.

NOTE: If you click New to add a new Shipping Address, the page will redirect to a window where you can add a new Shipping Address. You can click Save address so you can use it in the future, and then click Add.

Step 8:

Click Next to proceed.

Review your order and charges, then tick the acknowledgement box to confirm your order. Click Next.

NOTE: RingCentral has set limits for the protection of customers from fraudulent activities or over usage. You may get a message saying that you have exceeded the maximum allowed value that can be processed on your account in a single billing cycle. For security purposes, please contact RingCentral Customer Service to verify your Billing Information and request an account limit increase and proceed with your desired transaction.

Step 10: 

You will see the Order Confirmation page where you can Print a copy of your order transaction. Click Done

NOTE: The Unassigned phone that you ordered will be added to the Unassigned tab under Phones & Devices. Check the Shipping Status of your Ordered Phones later on.

Set up and Assign an Unassigned phone to a User in your account

Under the Unassigned tab, the list of your Unassigned devices is automatically displayed. Your Unassigned phones can be any of the following:
 
Unassigned phones ordered from RingCentral (new  phones not yet plugged in)

Unassigned phones ordered from RingCentral

These are the Unassigned phones that you have ordered on your account for future use. To use these devices, you need to click on the following: 
 
Assign to: Click this link for phones with a phone number already assigned. This will allow you to assign the phone to a User in your account.

Set up and Assign: Click this link to add a phone number to the device, and assign this phone to a User.

After adding a phone number and assigning this device to a User, you just need to make sure that the phone is properly connected to your network. For steps on how to connect your phone to your network, go to Connecting your RingCentral Desk Phone to your Network

Existing phone (third party phone) 

Click Set up and Assign to add a phone number to the device, and assign this phone to a User.

After adding a phone number and assigning this device to a User, you are now ready to provision your third party device (phone not purchased from RingCentral). To provision your third party device, go to Set up a Third Party SIP Phone.

Pre-used phones on your account

These are phones that were previously provisioned and assigned to one of your Users. Administrators normally unassign phones when their Users leave the company and no one else will use the phone; or these phones were replaced by another device. Click Set up and Assign to add a phone number to the device, and assign this phone to a User.

After adding a phone number and assigning this device to a User, you just need to make sure that the phone is properly connected to your network. For steps on how to connect your phone to your network, go to Connecting your RingCentral Desk Phone to your Network
 

Deleting Unassigned phones

You can permanently delete your Unassigned phones from your account if you do not need to use these devices in the future. 

Step 1: 

Under the Unassigned tab, tick the check-box next to the Unassigned devices that you wish to delete, and then click on the User-added image Delete button on top of the list.
